Marketing and Business Development Assistant - Parsippany, NJ

The Marketing and Business Development Assistant position is an essential component of our Marketing and Business Development Department. The assistant is responsible for supporting the marketing and business development efforts of the law firm. The person in this role will report to the Marketing and Events Manager, and will collaborate with others in the department on diverse projects, assisting where needed and as necessary to meet firm marketing objectives. In addition, the position is responsible for handling general administrative tasks, including processing invoices and expense reimbursements and tracking projects.

The person in this position will need to thrive in a fast-paced, demanding environment. They will be asked to handle multiple tasks, making it important for them to be able to manage their time, set priorities and problem-solve. They will interact with firm employees at all levels, including executives, partners, other attorneys, legal assistants and staff in various departments. It is extremely important that they have a professional demeanor, outgoing personality and good oral and written communication skills. The ideal candidate will also be team-oriented, self-motivated, resourceful, detail-oriented, organized and have the desire to work in a collaborative environment as an assistant to a Marketing team.

Duties of this specific Assistant will have an emphasis on events, include utilizing marketing technology to assist with event planning that supports the growth of the firm.  Within this role, the ideal candidate will possess the ability to excel within a deadline-driven, service environment and demonstrate that they can communicate clearly, concisely, and effectively. The position also requires strong writing and editing skills, with meticulous attention to detail and personal organization. The ability to adapt "on the fly" and adjust quickly to new tasks is critical while coordinating multiple projects with varying and changing priorities.


Responsibilities:

Assist in managing all aspects of virtual and in-person events, webinar coordination, including materials, event messaging/marketing, coordinating speakers, signage, giveaways, vendor relations, registration, agenda scheduling, logistics and follow-up. Create, propose, execute, and present on market research projects

Coordinate special projects and provide basic research and data collection

Provide administrative support to other marketing managers as needed, including drafting, proofreading and editing marketing and business development copy, practice area descriptions, matters lists and attorney biographies.

Heavy concentration on collateral including Save-the-Date, Invitation and Thank you emails.

Manage status reporting on event guest and attendee lists.

Assist with post-event wrap up including final attendee lists, budget reconciliation, observations, suggestions for following year events and debriefing. 

Maintain timely, accurate well-documented information in each program file.


Qualifications:

BA/BS degree preferred

Professional work experience; professional services/law firm experience strongly preferred

Outstanding oral and written communication skills

Demonstrated success in meeting deadlines in a fast-paced environment

Outstanding organizational skills reflecting an ability to prioritize tasks and manage multi-stage projects

Meticulous attention to detail, with an ability to be productive without compromising quality, self-directed initiative, resourcefulness and drive for innovation

Strong computer skills and proficiency in Excel; PowerPoint, Word, Zoom, knowledge of databases, CRM systems (InterAction) and e-mail marketing software a plus

A desire to take on new projects and develop additional skills

Demonstrated awareness of event production and best practices and trends

Operational project management skills and experience creating meeting agendas and other collaboration tools

Customer-oriented and proven reputation of collaborative work relationships

Ability to cultivate positive relationships with cross-functional partners and executive leaders

Calm appearance under pressure

Ability to work outside standard business hours when necessary
